Mid-Year Review Revelation: Digital Declutter

I started the year with massive decluttering projects, and then my workload and caregiving derailed the process to smatterings of effort. With Summer bringing me a renewed sense of spaciousness, I’m ready to return to intensive clutter clearing. My first focused effort will be on digital decluttering. (I heard some of you audibly groan. 😹) I know that making progress in organizing and simplifying my tech life will bring a new level of mental clarity. I need that! 

 Let’s make a plan. A thorough digital declutter involves organizing and cleaning out all the various files and folders on our computers, tablets, and phones to improve efficiency, find information easily, repurpose content, complete projects, and free up storage space. Here’s a guide to help us start the process:

  • Look at your current organization: Start by checking out the state of your applications, files, and folders. Notice any areas that could use some improvement or reorganization. If you come across duplicate files, outdated documents, or folders that can be archived, deleted, or combined, take note of them.

  • Plan your folder structure: Design a logical and efficient folder structure that suits your needs. Keep it simple and intuitive so that you can easily find files in the future. If you’re a visual person like me, feel free to add some colors and visuals to keep things organized. If you use project management tools like Asana or Notion, it’s helpful to document your organizational structure there for future reference.

  • Back up your drive ASAP! Before you start deleting or making significant changes, have a backup of all your essential files. Use an external hard drive, cloud storage services, or backup software to create duplicate copies and prevent data loss.

  • Be kind to yourself: This decluttering process is not about judging yourself. Watch your self-talk and be compassionate. Imagine what you would say to a good friend going through a massive decluttering. You deserve the same kindness!

  • Sort and categorize files: Start sorting your files into the newly created (or improved) structure. Take it one category at a time to stay focused. As you review each file, ask yourself if you still need it. Delete any redundant or unnecessary files, and if you find a file that belongs in a different category, move it to the correct folder.

  • Give your files clear names: If you come across files with vague or unclear names, it’s time to give them a makeover. Use descriptive names that clearly represent the content of the file. Coherent naming will make searching for files a breeze. Consider documenting your naming conventions in your project management system and get into the habit of creating well-named files and folders.

  • Say goodbye to duplicates: It’s time to free up some storage space! Use duplicate file finder tools (free or paid) to identify and remove those pesky duplicates. Weeding out duplicate files will help keep your digital space clean and organized.

  • Tackle your downloads folder: Ah, the notorious downloads folder. It tends to become a messy storage area. Take time to sort through the files, delete the unnecessary ones, and move the important ones to the relevant folders. To avoid future clutter, set up a regular system for organizing downloads and create a recurring reminder in your project management application.

  • Stay organized consistently: Once you’ve decluttered, the key is to maintain the cleanliness and organization of your files. Regularly review and remove any unnecessary files, and ensure new files are placed in the appropriate folders immediately. This simple habit will prevent clutter from piling up again.

  • Buddy up for accountability: Having a decluttering buddy can make the process more enjoyable. Consider using a coworking service like Focusmate, which provides affordable coworking sessions with people worldwide. Whether it’s work, art, exercise, or anything else you need to stay accountable for, they’ve got your back.

  • Time to tackle the cloud: Now that you’ve conquered your primary devices, it’s time to deal with your cloud-based services and apps. If the thought of sorting through your Google Drive, Canva, Dropbox, or other cloud storage platforms stresses you out, don’t worry, you’re not alone! Apply the same process you used for your devices and create a “parking lot folder” for anything you think should be deleted but want to double-check before sending it to the trash.

  • Take it one step at a time: Decluttering doesn’t have to be overwhelming. Break it down into bite-sized chunks. Just like you did with your devices, maintain the cleanliness and organization of your cloud storage by regularly reviewing and removing unnecessary files. And, of course, make sure new files find their proper homes right away. Keeping tidy as you go will help you avoid future clutter buildup.

Remember, when deleting files, exercise caution, especially if they’re important or you’re unsure about their significance. That’s why having a comprehensive backup is crucial before you begin. Take your time and be patient with yourself throughout the decluttering process. And whenever you need a boost of motivation, think about all the benefits you’ll experience from having an organized and clutter-free digital environment.
